Build a database for employees

The system provides a database contains all employee's information with the possibility of adding more cells to contain additional information by the user.

Employee's Documents

You can develop a list of the documents required from employees and track completing these documents along with saving copies on the database.

Employee’s Register

This register shall contain all details about the employee from the day he/she begins work; in terms of the changes to the salary, movements inside the organization, training courses and bonuses and punishments.

Warning and Reminding System "Alerts"

This feature enables you to place a reminder note on any cell containing a date, such as a contract termination date, with the possibility to specify the time period before the generation of the reminder, as well as to update the reminder (delaying the reminder / adding a note to it).

Training Courses

You can define training courses, the training places, as well as the number of hours, total cost, and candidate's names.

Cost Centres

By using cost centres feature, you can load employee payables on a cost centre and prepare a report about these centres (each centre share of wages and salaries); taking into account the period the employee has stayed on each centre.

Jobs Structure

Build a database for jobs, including the job name, description, grades and salary items (basic salary, variable salary and allowances). You can load the salary items once the employee has been allocated to the job.

Planning

The system provides more flexibility in needs planning, as it allows you to make comparisons between the required workforce and the actual numbers available to know the increase and the defect in jobs, and define the difference between the cost of the required workforce and that of the existing one.

Attendance System

You can deal more efficiently with time attendance machines; and register attendance directly through the system, with the possibility of importing attendance data.

Rules for delay, overtime and absence

You can set more than one class for delay and specify deduction percentage (of net salary, total salary, or basic salary). In a similar way, you can classify overtime and specify the compensation for each overtime hour based on the total salary. You can also classify absence by percentage.

Leave Balance

The system allows you to define leaves and specify the value for each leave based on salary, and calculate employee's leave balance from the date of appointment in accordance with the leave policy and official holidays and feasts.

Shifts

You have the choice to define more than one shift and set the end and start time, and the minimum and maximum limit of attendance for each shift; together with allocating the employee to a basic shift and tracking the employee’s attendance on various shifts.

Permissions and Tasks

The system provides you with the ability to Issue permissions and set the beginning and duration of each permission period and its effect on attendance. Moreover, you can assign and direct tasks, and set a date for the launching of each task, and define whether it constitutes a part of a day or lasts for more than one day, as well as the effect it has on the attendance.

Payroll Management

By using a reliable system, you can avoid the risk of making inaccurate or delayed salary roll or making inaccurate or delayed reports concerning taxes and insurances.

Definition of Payables and Deductions System

HCOne is a complete Formula driven payroll system. That allows you to create & maintain your payroll items upon your company rules & to fit also with governmental laws changes (Social insurance ,Income taxes,..). This important feature allows the system administrator to change payroll calculations with no need for costly programming modifications.

Tax and Insurance System

You can define a policy based on the applicable tax and insurance Laws and amend this policy whenever these laws change. This feature enables you to issue monthly insurance reports in light of Insurance Office regulations.

Employee's Loans

You can define more than one loan (cash loan, goods loan), and specify loan installments numbers and maximum value, in addition, the system allows you to supervise the loan by comparing net salary with loan’s installment value and preparing salaries without deducting the loan value (delaying loan payment to a certain month).

Cost Centres

You can calculate payroll costs pursuant to cost centres, taking into account the movement of employees to more than one cost centre during month.

Employees Accounts

You can Issue monthly salaries lists accompanied with a large and varied number of reports regarding employees' accounts with the possibility of preparing salaries at any day of month.

Incentives and Commissions

Define performance percentage, receivable and payable, and apply that to the whole branch or a certain employee.

Payment Places

Assign more than one payment destination (from banks, treasury, etc.)

Bank file & Salary Journal.

No need to double work you can export your payroll transfer directly from the system. Many banks payroll transfer formats (CIB,NSGB,..) are supported. If your bank is not supported Microsystems will be glad to add it. Also the system will provide a details & summary general ladger journals which you can export to your ERP system directly.
